How to write a cover letter for a visa application

A cover letter for a visa application is a one-page note signed by you. It tells the officer who you are, why you are travelling, who is paying and when you will be back. It does not replace any document. Its job is to make the rest of the file easy to follow.

Is a cover letter compulsory?

It depends on the authority, so read the official checklist for your visa first.

When the checklist asks for one

Some checklists name it. The German missions' checklist for a Schengen tourism visa lists a "personal covering letter" together with proof of the intended means of transport and itinerary. If the checklist asks for a letter, treat it like any other required document.

When it does not

Other authorities ask for the same information without calling it a letter. The UK's guide to supporting documents for visitors recommends that you provide information about your circumstances in your home country and details of what you will do in the UK. A short letter is one tidy way to do that. If you are applying on an online e-visa form that has no place to upload a letter, the form's own questions do the same work.

What the officer is looking for

The Schengen rules show what an applicant has to establish. The applicant presents documents on the purpose of the journey, on accommodation and on sufficient means for the stay and the return. The file must also let the consulate assess the intention to leave before the visa expires (EU Visa Code, Article 14). The consulate then verifies the applicant's "justification for the purpose and conditions of the intended stay" (Article 21).

A good letter answers those points in the order an officer would ask them.

Seven things to include

  1. Who you are and what you do. Name, passport number, occupation, employer or business, and how long you have been there.
  2. The purpose of the trip. One or two sentences: a family holiday, a cousin's wedding, a trade fair, a client meeting.
  3. Dates and itinerary. Date of entry, date of exit and the cities you will visit, in order.
  4. Who is paying. Yourself, your employer or a sponsor, with the document that proves it. For a sponsor, see sponsor and invitation letters.
  5. Who is travelling with you. Names and relationships, and whether they are applying at the same time.
  6. Why you will return. The job you are due back at, a business you run, a course you are enrolled in, family in India.
  7. List of enclosed documents. A numbered list in the same order as the file.

A one-page format you can adapt

None of the official pages we read prescribes a template. The structure below is our suggestion. Change every detail to your own facts.

Date and place

To: The Visa Officer, followed by the name of the embassy or consulate. This form of address is a convention, not a rule.

Subject: Application for a [type] visa, [your name], passport number [number]

Paragraph 1: I am [name], working as [designation] with [employer] in [city] since [month and year]. I am applying for a [type] visa to visit [country] from [date] to [date].

Paragraph 2: The purpose of my visit is [purpose]. I plan to travel to [cities, in order]. My itinerary and accommodation details are enclosed.

Paragraph 3: I will pay for the trip from my own savings. My bank statements and salary slips are enclosed. [Or: my trip is sponsored by (name and relationship), whose letter and financial documents are enclosed.]

Paragraph 4: I am travelling with [names and relationships]. My employer has approved my leave from [date] to [date], and I will resume work on [date].

Paragraph 5: The documents enclosed with this application are listed below. [Numbered list.]

Close: Signature, full name, mobile number and email address.

Notes for salaried, self-employed and student applicants

  • Salaried: your letter and your employer's letter are two separate documents. The German checklist, for example, asks employed applicants for the employer's statement approving the holiday, which it calls a leave sanction letter. Make sure the dates in the two letters are identical.
  • Self-employed: say what the business does, when it was registered and who will run it while you are away. Refer to the business papers you enclose, such as registration and tax returns.
  • Student: name your institution and course, give the term dates and say who is paying for the trip. If a parent is funding it, their letter and financial papers belong in the file too.

Mistakes that weaken a cover letter

Details that do not match the rest of the file

The letter is a statement by you, and it is read against your documents. The Schengen refusal form has two grounds on exactly this point. One is that information on the purpose and conditions of the stay "was not reliable". The other is reasonable doubt about the reliability of the applicant's statements (EU Visa Code, Annex VI). If the letter says 12 days and the leave letter says 10, the officer has a reason to doubt both.

Copying a sample word for word

A borrowed letter describes someone else's trip. Use a format for its structure only, and write the sentences yourself.

Explaining too much

One page is usually enough. That is our advice, not an official limit. Long accounts of how much you admire the country add nothing. The same goes for paper: the UK guide lists documents that are less useful as evidence, including personal photographs, driving licences and credit card statements.

Leaving out the awkward fact

If you changed jobs last month, or your bank statement shows a large recent credit, say so in one sentence and enclose the proof. A short explanation is better than leaving the officer to guess. Our note on bank statements for a visa covers the financial side.

Language, signature and translations

Write in English unless the checklist names another language. Type the letter, print it and sign it by hand, or sign and scan it for an online application.

Translation rules differ, so check them for every supporting document that is in Hindi or a regional language. For UK visit applications, a document not in English or Welsh must come with a full translation that the Home Office can independently verify. The translation must carry the translator's confirmation of accuracy, the date, and the translator's full name, signature and contact details. The German missions in India ask for documents in German or English, and treat a document without a proper translation as missing.

Common questions

Does a well-written cover letter get the visa approved?

No document does that. Both the UK guide and the German checklist state that submitting the listed documents does not guarantee a visa. A clear letter makes your file easier to read, and that is all it can do.

Should I mention an earlier visa refusal?

If the application form asks about refusals, answer there truthfully. One line in the letter on what has changed since then is reasonable. The grounds officers use are set out in why visa applications get refused.

Does each family member need a separate letter?

Follow the checklist. Where it is silent, one letter from the main applicant that names every traveller usually reads more clearly than several near-identical ones. An adult with separate income or a separate purpose should write their own.
